351 posts and comments in 65 threads, read and counted

The short answer: on Reddit, complaints about Otter.ai far outnumber praise. We read every post and comment that names Otter in 116 Reddit threads that Google returns for searches like "otter ai reddit" and "best ai note taker reddit". Otter came up in 65 of them. Of the 151 people who gave a clear verdict, 122 were negative, 24 were positive and 5 were mixed.

Key takeaways

  • The top complaint is that Otter spreads: its bot joins calendar meetings, and its notes and invites can reach every guest.
  • The complaints are current, like the threads themselves: 91 of the 122 negative voices posted in 2025 or 2026.
  • The Pro limits Reddit protested in 2022 are still today's Pro limits: 1,200 minutes, 90 minutes per meeting, 10 imports.
  • Fans are mostly everyday meeting users, and most don't say why; accuracy is the point they praise most. A few are reporters, and one relies on it because of a disability.
  • The privacy class action goes on: on August 13, 2026, a judge let the core claims proceed. Nothing has been proven.

What Does Reddit Say About Otter.ai?

Mostly complaints. In the 65 Reddit threads that mention Otter, 151 people gave a clear verdict: 122 negative, 24 positive and 5 mixed. Most negative ones are recent, with 91 of the 122 posted in 2025 or 2026. Some of our searches included words like "refund" and "privacy", so read this as a map of the complaints, not a satisfaction rate.

Two things make the raw numbers noisy. First, we counted people, not comments, and left out thread authors, self-promotion and comments copied between accounts, word for word or nearly. Second, Otter threads are a sales floor. We flagged 68 more comments as vendor posts, affiliate links, copied or look-alike text, or pitches, mostly for rival apps such as Fellow, Krisp, Bluedot, Fireflies or Tactiq; one account recommended the same app in five threads. We can't tell who posted them. Take those out and 91 negative and 21 positive voices remain. The balance barely moves. "The bot in the call" shrinks the most, from 21 negative voices to 9, because rival pitches lean on that point hardest.

Why Do People Say Otter Spreads Like a Virus?

Because one person's account reaches everyone on the invite. Otter's help pages describe the chain: its bot joins meetings from a connected calendar, auto-share can send the notes to every guest, and guests need an Otter account to open them. That came up more than anything else: 30 people raised the emails and invites, and 21 the bot joining on its own.

Loop diagram of how Otter reaches new people, from Otter's help pages: a user connects a calendar, the Otter Notetaker joins meetings automatically, auto-share sends notes and a summary email to every calendar guest, guests need an Otter account to open them, and a new account can connect its own calendar

The stories are vivid. In a February 2025 r/projectmanagement thread, a VP of IT says that after a trial, hundreds of staff got emails inviting them to "join his team on otter.ai". An r/sysadmin rant from January 2025, with a score of 166, describes guests signing up to read notes and then letting the bot join their own meetings, so it moves from colleague to colleague. One commenter there says their whole contact list, parents included, got invites that looked like they came from them.

Otter's own pages confirm the mechanics, as of October 21, 2026:

Otter's help pages don't say which auto-join and auto-share settings a brand-new personal account starts with. Check them on day one.

What Happens When Otter Joins Your Job Interview?

The bot shows up as a named guest, and the recruiter may get the notes. Job interviews came up with 13 commenters in our threads, and four people started threads about them (one cross-posted it). The best-known is a December 2023 r/recruitinghell post, with a score of 505: a candidate's own OtterPilot joined a Google Meet interview they didn't remember setting up.

A 2026 commenter in a similar thread says the bot joined a third-round interview even after they changed the setting. Otter's help center explains one way that happens: meetings you switched on one by one keep their own setting when you change the default. To keep Otter out of an interview:

  1. In the call: anyone, with or without an Otter account, can type "stop otter" in the meeting chat. That removes every Otter Notetaker from the call.
  2. Before the call: go to Integrations โ†’ Meetings โ†’ Default auto-join settings and pick "Meetings I manually select". On a phone it's Account โ†’ Account Settings โ†’ Meeting settings โ†’ Auto-join meetings โ†’ Manual.
  3. Check single events: open the meetings you toggled one by one. They don't follow the new default.
  4. Or cut the link: disconnecting your calendar removes future synced events from Otter.

Not every interview story is a horror story. In one thread, a hiring manager says they rely on Otter because of a disability and ask candidates for consent first.

Can Otter Take Notes Without a Bot?

Yes, but not when it works from your calendar. Otter's desktop app for Mac and Windows records without a bot, and its Chrome extension offers "Record on my device instead" for Google Meet. The calendar Notetaker still joins as a visible guest and can't join anonymously, Otter's help center says. So Reddit's complaint that Otter only works through a bot is out of date, but the bot is still the default path.

Why it matters: in a March 2026 r/SaaS thread, a product manager says an interviewee noticed the bot and went quiet for the rest of the call, and a reply says any tool that joins as a participant is ruled out for customer interviews. Otter's desktop app needs macOS 12.3 or later, or Windows 10 or later. The bot also appears on every Otter plan, free included, per its pricing page.

How Much Does Otter Cost in 2026?

Otter Basic is free, with 300 minutes a month and a 30-minute cap per conversation. Pro costs $16.99 a month, or $8.33 a month billed yearly, with 1,200 minutes, 90 minutes per meeting and 10 file imports a month. Business costs $30 a month, or $19.99 a month billed yearly. These are Otter's prices on October 21, 2026, in US dollars.

Otter's plans, from otter.ai/pricing (read October 21, 2026)
PlanPriceLimits
BasicFree300 minutes a month, 30 minutes per conversation, 3 file imports in total, 25 most recent conversations
Pro$16.99 a month, or $8.33 a month billed yearly1,200 minutes a month, up to 90 minutes per meeting, 10 imports a month
Business$30 a month, or $19.99 a month billed yearlyUnlimited meetings and in-app recordings, up to 4 hours per meeting, 6,000 imported minutes per user a month
EnterpriseNot listedAdds the API, HIPAA as an add-on, recording disclaimer emails, custom retention; SSO needs at least 100 users

Money came up a lot: price, minute caps and plan changes together drew 45 people. The anger dates back to an August 2022 r/podcasting thread about Otter cutting Pro to 1,200 minutes a month, 90 minutes per conversation and 10 imports a month. Those are still today's Pro limits. Reporters and podcasters felt it most: a busy 2024 r/Journalism thread starts with a user who only uploads audio files and is priced out by the import cap. Note that we read the pricing page from outside the US; it also showed lower prices for cards issued in India.

Can You Get a Refund From Otter?

Usually not. Otter's help center and terms of service say subscriptions are non-refundable. Cancel at least 24 hours before the next billing date; paid features last until the period ends. App Store and Google Play purchases follow those stores' refund rules instead. In our threads, 11 people complained that Otter is hard to get rid of, mostly IT staff deleting accounts or bots that came back, and 4 described unexpected charges.

Before you cancel, export what you need. Our guides to exporting meeting transcripts in bulk and cancelling an AI note taker before it charges you walk through Otter step by step.

Does Otter Train AI on Your Meetings?

Yes, on de-identified data, by its own policy. Otter's privacy policy, effective June 16, 2026, says it trains its AI on "de-identified audio recordings and on transcriptions (which may contain Personal Information)". A "Help improve Otter" setting controls sharing for training, and Otter's FAQ says "Don't allow sharing" keeps future conversations out.

Otter's pages don't fully agree with each other. Its Privacy & Security page says data is de-identified so no individual can be identified, while the policy says the transcripts used may contain personal information. And while Otter's FAQ says future conversations won't be used for training once you choose "Don't allow sharing", the privacy policy doesn't mention that setting. Otter's terms also put the duty to notify and get consent on you, the user, and send disputes to individual arbitration, with a 30-day window to opt out.

Privacy came up with 23 people. A November 2025 r/ITManagers post describes a health-tech IT team finding staff using consumer note takers on calls with patient data, and writing a vetting checklist afterward (the post goes on to recommend a rival tool). Otter offers HIPAA compliance only on Enterprise, with a business associate agreement, and its transcription runs entirely in the cloud.

What Is the Otter.ai Class Action About?

A proposed class action says Otter's bot recorded people who never agreed to it and used their conversations to train AI. The case is In re Otter.AI Privacy Litigation, No. 5:25-cv-06911, in federal court in San Jose. On August 13, 2026, the judge let the core wiretap and Illinois biometric claims go forward. Nothing has been proven, and no class has been certified.

Timeline of the Otter.ai privacy class action: filed August 15, 2025; three later suits consolidated into it October 22, 2025; consolidated complaint December 5, 2025; motion to dismiss granted in part and denied in part August 13, 2026; Otter's answer September 17, 2026; class certification motion due May 13, 2027

A July 2026 r/legaltech post argues the case is a problem for every app that records meetings, because several US states require everyone on a call to agree to a recording. The claims against Otter are allegations, not findings, and Otter's own terms put notice and consent on the user. This isn't legal advice.

Who Still Likes Otter, and Why?

Mostly everyday meeting users, plus some reporters, long-time subscribers and one accessibility user. 24 people in our threads were clearly positive. They praise accuracy most often, which one r/Journalism commenter puts at about 90 percent before a quick cleanup, and a few praise Otter's AI chat across past meetings or the audio synced to the transcript. Several have used it for years and tried the rivals.

The praise isn't spotless either. Two look-alike comments from different accounts, posted the same day in different words, recommend Otter while pushing the same research tool; they are 2 of the 24 positive voices. One account also posted the same affiliate deal for Otter three times in a day; we counted those posts as neutral.

What Did People Use Instead?

No single favorite. Among people who named an alternative, Granola came up 7 times and Fireflies 6, then Fathom, Microsoft Copilot and Adobe Premiere 3 times each, once we removed comments that read like pitches. Reporters moved to editing or upload tools they already had. Meeting users moved to Fireflies, often for accuracy, or to tools that don't send a bot.

Unfiltered, the list looks different: Krisp, Fellow and Bluedot climb near the top. Most of those mentions are pitches or look-alike comments, so we don't count them as a verdict. IT teams, for their part, steered staff toward Microsoft Copilot or the transcription built into Zoom.

Which Otter Complaints Are Out of Date?

Several. Otter's AI chat now searches across past meetings, not just one. There's an API, for Enterprise only. The desktop app records without a bot. HIPAA compliance exists on Enterprise. And claims that Otter waits for you to press record are wrong: its bot joins calendar meetings by itself, even though Otter's privacy page says it records only when someone presses Record or invites it. Auto-join works as a standing invite. What still holds is the 2022 pricing, the refund policy and the bot's spread.

Is There an Otter Alternative That Never Joins the Call?

On a Mac, yes. MetaWhisp is a free Mac app that records meetings from your microphone and your Mac's own audio, so no bot joins and nobody gets an invite or a summary email. By default it transcribes on your Mac with Whisper large-v3, and the free version needs no account. MetaWhisp didn't come up in any of these threads; it's our product, so weigh this section accordingly.

Here is how it lines up against the Reddit complaints. Meeting Recording is off until you turn it on in Settings, and then you start each recording from the menu bar or the Meeting Coach window. Call detection and auto-start exist but are off by default, so by default it records only the meetings you start yourself. By default, no audio leaves the Mac; it does if you add your own Groq, OpenAI, Deepgram or Gemini key. Pro, at $7.77 a month or $30 a year, moves transcription to Groq through MetaWhisp's server, with 5,400 minutes a month, and MetaWhisp's privacy page says its servers don't store audio or transcripts. A recording you start has no length cap.

Its limits, plainly:

If that fits how you work, see how meeting notes work without a bot or compare the two in MetaWhisp vs Otter.ai.

FAQ

❓

Is Otter.ai free?

Yes. Otter Basic is free, with 300 transcription minutes a month, a 30-minute cap per conversation, 3 file imports in total and your 25 most recent conversations visible. Pro costs $16.99 a month, or $8.33 a month billed yearly, as of October 21, 2026.

❓

How do I stop Otter from joining my meetings?

In Otter, go to Integrations โ†’ Meetings โ†’ Default auto-join settings and choose "Meetings I manually select". Then check meetings you switched on one by one, because they keep their own setting. In a live call, anyone can type "stop otter" in the chat to remove the bot.

❓

Does Otter tell people they're being recorded?

The bot joins as a named guest, so people can see it, and it can post a link to the live transcript in the chat. With the desktop app's botless recording, no bot appears; in Microsoft Teams it can post a recording message in the chat. Pre-recording emails are optional; only Enterprise can enforce them. Otter's terms make you responsible for notice and consent.

❓

Does Otter use my recordings to train its AI?

Otter's privacy policy says it trains on de-identified audio recordings and on transcripts that may contain personal information. A "Help improve Otter" setting controls sharing for training; Otter's FAQ says future conversations won't be used once you choose "Don't allow sharing", but the privacy policy doesn't mention the setting.

❓

Can I get a refund from Otter?

Usually not. Otter says subscriptions are non-refundable. Cancel at least 24 hours before your renewal date, and your paid features last until the period ends. If you paid through the App Store or Google Play, their refund rules apply.

❓

What is the status of the Otter.ai lawsuit?

In re Otter.AI Privacy Litigation, No. 5:25-cv-06911 in the Northern District of California, was filed August 15, 2025. On August 13, 2026, the judge let the core wiretap and Illinois biometric claims proceed. Class certification comes up in 2027. Nothing has been proven against Otter.

How we counted

On October 21, 2026, we ran 30 Google searches of the form "<topic> reddit" and saved the Reddit threads on the first page (one search returned only threads we already had): 116 threads after removing four off-topic ones. Reddit itself blocks automated reading, so we read public copies of the threads, with every comment, from the Arctic Shift archive. Otter came up in 65 of them, in 351 posts and comments written by 299 accounts, from 2019 to 2026. We labeled each one as positive, negative, mixed or neutral and noted the reasons. We counted each person once per verdict and left out thread authors, self-promotion and text copied between accounts (when at least 90 percent of the shorter text's wording appears in the other). We didn't test Otter for this piece. We read what people wrote and checked their claims against Otter's pages.
